Description: This position is responsible for the day-to-day activities of the intern and volunteer programs for the Alaska SeaLife Center.
This position is also responsible for executive level administrative duties within the Human Resource Department.

Responsibilities (include but are not limited to):
1. Manages Intern & Volunteer programs, operations and program development including:
• Develops and coordinates the intern and volunteer programs with Departments.
• Coordinates the on-boarding and exiting processes.
• Coordinates the performance review process.
• Coordinates special events, i.e. annual recognition dinners.
• Coordinates meetings with intern and volunteer supervisors and interns and volunteers.
• Oversees intern housing negotiations.
• Participates in contract renewals for volunteer programs and intern housing.
• Coordinates with outside volunteer program vendors, such as AmeriCorps, to meet program requirements.

2. Manages AmeriCorps program, operations and program development including:
• Works with SAGA to create AmeriCorps postings, placing ads, researching advertising sources, responding to applicant inquiries according to SAGA guidelines, interviewing and assisting SAGA with reference checks, as needed.
• Directly supervises four or more AmeriCorps members.
• Ensures that all AmeriCorps duties (i.e. community service projects, individual service projects, etc) are completed.
• Coordinates with department supervisors for scheduling and evaluation of the members.
• Completes monthly SAGA paperwork in compliance with AmeriCorps protocols.
• Coordinates with SAGA personnel on recruiting, in-processing, monthly paperwork, and exit processing.

3. Assists with the administration of the recruiting program for the Alaska SeaLife Center, including:
• Placing ads, tracking advertising expenditures, researching advertising sources, responding to applicant inquiries, corresponding with applicants through confirmation emails, No Further Interest emails, and offers, disseminating applications to hiring managers, assisting with interviews and assisting with reference checks.
• Submitting paperwork for selective background checks and drug / alcohol testing.
• Conducting new intern, volunteer and employee orientations and in-processing.
• Assisting with the preparation for visa documentation.
• Maintains proactive ways of updating and improving the recruitment process.

4. Assists the Senior HR Manager in staff retention analysis, employee/intern/volunteer grievance resolution and develops initiatives that build a positive workplace culture.

5. May participate in job fairs.

6. Assists Senior HR Manager in budgetary forecasting and monthly tracking of budgetary expenditures.

7. Assists the Senior HR Manager in manpower scheduling and forecasting.

8. Develops correspondence, such as; volunteer website, bulletin boards, and monthly newsletters as time permits.

9. Assists in event preparation and coordination, including volunteer coordination for fundraising events.

10. Maintains a valid driver’s license.
Requirements: Requirements: Bachelor’s degree with four years HR and/or volunteer/intern coordination experience or the equivalent required. Experience working with programs such as AmeriCorps preferred. Ability to plan, organize, evaluate, and maintain confidentiality of executive level administrative and human resource tasks and information. Well organized and detail oriented with the ability to multi-task in a fast-paced environment. Self motivated, and self directed, with excellent time-management and prioritization skills. Excellent communication skills. Must be able to communicate clearly and interact effectively with staff, researchers, volunteers, and the general public. Must possess a customer-service focus. Must be able to interact effectively with all levels of staff and the general public. Must be able to demonstrate proficiency with Word, Excel, and PPT. Experience giving public presentations and / or working with various age groups in an educational setting. Must be able to work independently.
